AVG Vidyalaya Matriculation Higher Secondary School
Privacy policy
Effective 29/09/2026. This notice covers the AVG Parent and AVG Teacher mobile applications and the school ERP used with them. It is the school’s DPDPA notice for those apps.
1. Who we are
AVG Vidyalaya Matriculation Higher Secondary School (“the school”, “we”) is the Data Fiduciary under India’s Digital Personal Data Protection Act, 2023 (DPDPA). The school processes personal data of students, parents/guardians, and staff to run the school.
The ERP software is operated by Emplotec as a data processor on the school’s instructions. Emplotec does not use school data for advertising or sell it to third parties.
Data-protection contact: the school office, office@avgschool.com, 12 School Street, Kovilambakkam, Off Medavakkam Main Road, Chennai, Chengalpattu, Tamil Nadu 600117. Principal: principal@avgschool.com.
2. Who this policy applies to
- Parents and guardians who use the AVG Parent app. The account holder is the parent; the apps are not directed at children.
- Teaching and office staff who use the AVG Teacher app or the staff web portal.
- Students whose records are stored in the ERP. Students do not log in to the mobile apps.
Accounts are issued by the school at admission or hire. The apps do not offer public registration or account creation.
3. Data we process
Depending on the user, the school may process:
- Identifiers: name, admission or employee number, login ID, session tokens stored on the device.
- Contact details of parents and staff: phone, email, address.
- Student records: class, attendance, homework, exam marks, fees status, certificates, transport, clubs, complaints, notices.
- Staff records: timetable, leave, substitutions, homework posted, salary slips (staff portal), notices.
- Photos and files the user chooses to upload (profile photo, ID card photo, homework attachments, leave documents).
- Device push tokens so the school can send notifications via Firebase Cloud Messaging.
- Fee payment status in the parent app. Card/UPI details are collected by Razorpay, not by the school apps.
The apps do not collect location, advertising IDs, or contacts.
4. Why we process it
- Teaching, attendance, examinations, and reporting.
- Fee billing and receipts.
- Operational messages: absentee alerts, notices, homework, substitution alerts, leave status.
- Statutory records the school must keep.
We do not sell personal data. We do not use it for advertising. There is no tracking across other companies’ apps or websites.
5. Consent
Mandatory data-processing consent is captured at the school at admission (students/parents) or hire (staff). Optional consents (photography, marketing messages) are also recorded there.
The mobile apps show consent state as read-only. They do not capture, re-acknowledge, or withdraw consent. To withdraw consent, contact the school office. Withdrawal deactivates the related login, stops outbound messages, and restricts vault documents as required by school policy. Financial records and audit logs are retained where the law requires.
6. Sharing
- Emplotec, as processor hosting the ERP.
- Firebase Cloud Messaging, to deliver push notifications.
- Razorpay, when a parent pays fees in the parent app.
- Statutory bodies (for example education department, EPF/ESI for staff) where the school is required to file.
7. Storage, security, and retention
Data is stored on the school’s ERP servers and transmitted over HTTPS. Session tokens on the phone sit in the device’s secure storage. Push tokens are revoked on logout.
Records are kept for as long as the student is enrolled or the staff member is employed, and thereafter for the statutory period the school must retain educational, financial, and employment records. Cached app data is deleted on logout or when consent withdrawal deactivates the account.
8. Your rights
Under the DPDPA you may ask the school (via the office) to access your data, correct it, or withdraw consent. Account deletion is handled by the school office because accounts are school-issued, not created in the app. Data-export (portability) packages are fulfilled by the school on request.
9. Children
Store listings categorise the apps for parents and staff (17+ / Parents), not as child-directed apps. Student data is processed because the parent or guardian enrolled the child and the school has a duty to educate them.
10. Changes
If this notice changes in a material way, the school will publish the new version at this URL and, where required, recapture consent at the office. The date at the top of this page is the effective date.
